Vacation rental management is a service business. Owners should have realistic expectations that their investment property will be cared for professionally and that it will be prepared for each rental to guests.
Our philosophy and procedures ensure that your property is carefully maintained and cleaned before every guest arrival, all services are performed and that we can track problems and deal with the quickly for our guests and for owners.
VillaDirect employs its own personnel to perform cleaning, housekeeping, inspection, pool service and field maintenance. All of our personnel receive full background checks and drug testing .. so owners can be sure that the person entering the home don't have a long-list of theft charges from another state - or looking to steal something to support their drug habit. We care about your property's security and the safety of you and your guests. We only sub-contract when we absolutely have to - and then we monitor and check the work with our own inspection staff.

Cleaning
On departure of each guest party, our cleaning staff enter and remove all trash and debris, bag any personal items they find (to return to our lost-items locker in Guest Services) and then perform a thorough clean of the whole property, starting with the bedding, then the bathrooms and kitchen, and finally the living areas.
On completion, the cleaner performs a security walk-through to check all doors and windows are locked, and then leaves through the front door.
VillaDirect has a continual training program for its cleaning teams to ensure that we provide the highest quality cleaning service and the very best value-for-money to our owner clients.
Inspection
VillaDirect performs a pre-arrival inspection of each vacation rental within 48 hours of the arrival of the next guest. We're sure that owners recognize the importance of having the home looking at its best for the arriving guests - an we focus our inspectors attention on making sure that the home is ready and meets our exacting standards of hospitality. Where there are same-day turnaround reservations, the inspector typically arrives within 5 minutes of the departure of the cleaning team.
The inspector checks each room to make sure that it is clean and presentable for the next guest. He/she checks the bathrooms and showers for cleanliness and also does a cursory check of the number of towels in the closets available for the guest. The inspector makes sure that the beds are clean and have been properly made for the guest arrival. Finally, the inspector checks the pool area to make sure that there is no debris in the pool and that the pool deck and furniture has been wiped down.
If the inspector finds anything that needs attention or work, she either calls the cleaning team back, or calls field service administrators to arrange for a pool tech or a field service maintenance tech to call out before the guest arrives.
Pool service
Our pool service technicians perform the pool service every 6-9 days. We don't fix the service to a weekly schedule because of the Florida weather. Our software schedules the pool servicing and if the weather interrupts, re-sets it so that pools are not missed.
The pool techs perform eight different functions on a rotation basis through each 4 weeks. Some of the services (like hosing the deck and checking the pH balance and chemical balance) are performed ever week. The aim of the services is to ensure that your home has crystal clear water and a clean pool and deck.
Field service maintenance
When something goes wrong inside your vacation rental - you don't want to have some expensive third party call-out fee to fix something easy. We employ a team experienced and skilled maintenance personnel to perform the day-to-day repairs and maintenance that is needed to keep your investment property in tip-top shape.
If there's something that our team can't handle, we have a list of approved suppliers of equipment and services (for items that may need to be replaced or installed by a licensed contractor) that we can call on to quickly provide a repair or replacement.
Vehicle tracking
VillaDirect has a fleet of over 20 vehicles. You've probably seen our trucks around if you've stayed in one of our managed communities. Each and every vehicle in our fleet is fitted with a sophisticated GPS system that not only tracks the location of the vehicle (which allows us to locate and send a truck quickly when there's a problem) but also tells us the address it is parked at, when it arrived and when it departs. So we're able to quickly verify the date and time when (for example) our pool truck last visited your property in the event of a guest or owner query.
Entry and exit log
Every entry to a property is logged using our SecurePASS lock system that is fitted to every vacation home we care for. This allows us to perform an audit on the lock if every there is a question or discrepancy about who entered the home and when they entered. To enter one of our units, the personnel are issued with an Access code that is unique to that specific visit and person. If they don't get to the home within the time-frame allocated, then the code won't work form them.
We provide every guest and owner that's staying at the home with their own unique code that's only valid for the dates of their stay at the property (owners are able to generate these codes themselves on-line through our secure and private owner section).
In addition, VillaDirect uses a software system that allows cleaning, inspection and field service staff to call and log their exit from one of our vacation rentals. This software, combined with the vehicle GPS and the Access code on each door enables us to track the whereabouts and activities of our staff and more easily identify problems.
